What data do we collect?

Zero Carbon Guildford collects the following data:

  • Personal identification information (Name, email address, phone number, etc.)

  • If you are requesting an Energy Survey through the Local Energy Advice Demonstrator (LEAD) project, we may need to collect Special Category Data. This is to ensure we are providing the service within the terms of the LEAD funding, which was distributed by the Department for Energy Security and Net Zero (DESNZ), and we need to collect this information to ensure that we are delivering DESNZ objectives in supporting target demographics. 


 

How do we collect your data?

You directly provide Zero Carbon Guildford with most of the data we collect. We collect data and process data when you:

  • Register online for our mailing lists.

  • Voluntarily complete a customer survey or provide feedback via email.

  • Register for an Energy Survey within the Local Energy Advice Demonstrator  project

 

How will we use your data?

Zero Carbon Guildford collects your data so that we can:

  • Email you with information on the activity of Zero Carbon Guildford

 

The Local Energy Advice Demonstrator is supported through funding awarded to ZCG as part of a consortium with Surrey County Council. In the case of registering for an Energy Survey, we need to collect your data to ensure we can:

  • Check you are eligible for a survey 

  • Contact you to arrange the survey 

  • Follow up the survey with guidance and signposting tailored to your personal circumstances

  • Share your contact information with SCC as the lead partner in the Local Energy Advice Demonstrator consortium, so that they can create reporting for the project, and to ensure the data subject is informed of available financial or non-financial support as part of the LEAD project. Special category data is anonymised when sent to SCC. 

 

How do we store your data?

Data acquired via the Zero Carbon Guildford website is hosted on the MailChimp platform. MailChimp provides us with the online platform that allows us to host our website. Your data may be stored through MailChimp's data storage, databases and the general MailChimp applications. They store your data on secure servers behind a firewall.

 

Data which you have voluntarily provided to request an energy survey is hosted on the Jotform platform. Jotform allows us to collect survey requests in a secure manner, and complete the energy survey on your home. Your data may be stored through Jotform's data storage, databases and the general Jotform applications. They store your data on secure servers behind a firewall. Data collected for LEAD project will be deleted in line with UK GDPR law after 12 months.

Special Category Data 

Zero Carbon Guildford is a delivery partner on Surrey’s Local Energy Advice Demonstrator (LEAD) project, funded by the Department for Energy Strategy and Net Zero.(DESNZ)

 

We have confirmed the processing of special category data is necessary for the purpose of identifying eligibility for a free energy survey, and there is no less intrusive means to collect this data, to ensure that ZCG can meet the requirements of the funding agreement to successfully exercise the function of the government department DESNZ. 

 

Questions involving Special Category Data are not mandatory, and as such the data subject has given explicit consent to the processing of his or her personal data for the specific purposes of the LEAD project, and as such the legitimate interests of the Charity, to the benefit of the data subject. 

 

The Article 9 condition for processing the special data category is:

  • (d) Not-for-profit bodies 

  • Zero Carbon Guildford is a registered CIO, Charity Number 1192880

  • No alternative use of this data by Zero Carbon Guildford will be permitted

This data subject’s information will be deleted after 12 months.
